Does the perfect cover letter exist? If yes, what does it contain?
First, let's examine what an effective cover letter contains. It is addressed to a key person in the organization in which you are interested; it identifies an opportunity in which you are interested; it indicates your qualifications for the position; and it finishes with a next step action such as, "I will call your office to schedule an interview." If your submitted cover letter does not have these key elements, it will come up short.
Now, let's deal with the first challenge... to whom should the letter be sent? If we're trying for the "perfect" cover letter, it should not be sent to "To Whom It May Concern" or "Dear Hiring Manager". It should be addressed to a specific key person in the company. In the ideal scenario, this will be the person making the hiring decision, the manager to whom the position will report. Your second option is a key manager in the department or a manager that will likely send your resume on receipt to the right person. Or, you can send your resume and cover letter to a manager in the human resources department. This at least will get your cover letter a brief review before it gets passed on or placed into the resume management system used by the organization.
If you have a colleague that works at the firm, see if you can't get that individual to receive and forward on your resume. Or secondly, get a contact name and email address from them and ask if you can use their name in the email... "I received your contact info from Jim Clark, your Director of Customer Services." An introduction of this nature will usually get your cover letter read and forwarded to the right individual in the company. Don't immediately presume that you have no contacts at the company. Check out internet sites like linkedin.com which allow you to search by company. These sites will not only indicate current employees, but will tell you if someone has previously been employed at a company. You may know someone that left the company on good terms that can give you an introduction and allow you to use them as a reference.
In the absence of knowing someone at the organization, how do you find the name and email address of a person in the organization? This is easily done today with the wealth of information available on the internet. All you need to do is to spend time on the company's website and a search engine like Google. You can usually find this info on the "about us", "executive team", "contact us", or "news" pages of the organization's website. Most companies have a pattern to the their email addresses (something like firstname.lastname-at-company.com or firstinitial+lastname-at-company.com). After you have the pattern used for email addresses and the name of your contact you can piece together their likely email address with a high degree of confidence. Common nicknames can be tricky; sometimes "Thomas" will go by "tom" in his email address. If this is a senior level person, frequently the mail server will be configured to send mail addressed to either address through. If you send an email and it is returned undeliverable, simply try again with a different address.
